DOCUMENTING ATTENDANCE

Documentation of attendance is a requirement for eligibility for CE credit. Among the various approaches available for documenting attendance, the most efficient and professional is self-reporting by the attendee.  TG&A provides a short, online form for documenting attendance specifically for CE credit, separate from any other attendance record for the meeting. 

SELF-REPORTING ATTENDANCE

Attendees watching an online CE event on a computer click on a link in the webinar chat to access the online form that documents their attendance.  When several people watch the webinar on the same computer, they take turns clicking on the link and completing the form.

For a live audience watching a presentation delivered live or by webinar, a QR code on the screen will give each attendee access to the online attendance form.

ONLINE PRESENTATIONS

When attendees register for an event delivered on a platform such as zoom, Webex, GoogleMeet, or  Microsoft Teams, TG&A will accept the attendance report that includes time in/time as documentation of attendance.
Capturing attendance for enduring events is built in to the activity.

IN-PERSON PRESENTATIONS

There are several efficient ways of taking attendance at an in-person meeting.

  1. If TG&A has uploaded a registration list for the event, each attendee can be identified as present on the TG&A portal when they arrive. Unregistered attendees can be added to the portal on-site.
  2. If there is no pre-registration, attendees can be checked into the event on the TG&A portal when they arrive.
  3. The event host can provide TG&A with an excel spreadsheet of attendees that includes, at a minimum, columns forthe attendees' first name, last name, and email address.  This is the least efficient, most time-consuming, and more expensive approach as the host must get the list to TG&A who then must process the attendees into the portal before an invitation to access the evaluation/certificate process can be sent to each attendee.

CLEAR COMMUNICATION IS ESSENTIAL
Documentation of attendance is a requirement for eligibility for CE credit. The presenter is responsible for providing clear and concise instructions so that attendees know they must stay until the end of the presentation and must document their attendance electronically to qualify for CE credit.

  1. Prior to beginning the presentation, the presenter announces that attendance will be taken electronically immediately following the presentation. 
  2. Immediately following the presentation, the present provides the link to the attendance for in the webinar chat and/or displayes the QR code on the screen and reminds attendees that documenting attendance is their responsibility and is required for eligibility for CE credit.

ATTENDED, BUT NOT ON THE LIST??

Anyone who attended but did not complete the form at the end of the presentation must contact the event host. If the host can vouch for the attendee, TG&A will provide access to the evaluation.
